<html><body><div dir="ltr">IPSIE WG members,<div><br></div><div dir="ltr">In the past few years we have seen the rise of AI tools to automate note taking during meetings. While many find these tools to be helpful - myself included in certain scenarios - they can be quite divisive. Aaron and I have been discussing this issue with Mike Leszcz in order to develop guidance for the IPSIE WG on the use of personal AI bots to take meeting notes. In the absence of an OIDF-wide policy on the use of personal AI bots, individual WGs are able to determine their own rules for how to handle bots on their WG calls.</div><div dir="ltr"><br></div><div dir="ltr">During today’s call we discussed this issue and the consensus of the members on the call was that personal AI bots should not be allowed on WG calls for the following reasons:</div><div dir="ltr"><br></div><div dir="ltr"><ul style="margin:0px" dir="ltr"><li>Notes taken by humans are generally more complete and capture the nuances of a discussion more accurately than an AI notetaker</li><li>Meeting minutes taken by a note taker are the official record of OIDF WG meetings and must accurately represent substantive discussions and any decisions made during the meeting</li><li>Using AI note takers make it impossible to exclude specific discussions from the notes, if desired</li></ul><div><br></div><div dir="ltr">Moving forward, we will actively exclude AI note takers (e.g. Otter.ai) from IPSIE WG calls. We will continue to ask for human note takers on all calls to accurately record the meeting minutes for our official archives. The chairs expect that there may be exceptional circumstances where we allow AI note takers in the future.
